Step 1 - understand how it works
Key questions to ask:
- Does it have the features that you need?
- What processes does the tool make you follow? Are they flexible or rigid? Does it allow for future changes / customisation?
- Do the processes work for your business processes and frameworks?
- Do the processes work for all the countries / markets your business operates in (and expect to in the future)?
- Does it integrate with your existing tech? And how deeply, and easily?
- How easy is it to extract data? And what format does the data come in?
- What does it work best with? Microsoft v. Google Suite, Teams v Slack etc.
- Does it support mobile operating?
- What size companies typically use the tool?
- How scalable is it? Will it grow with your business?
- How hard is the tool to implement / the estimated time needed from your company to see success?
- What is a typical implementation time frame based on other similar companies?
- Are there any specialized skills needed for the set up?
- Do you offer implementation support?
Step 2 - what is the learning curve?
Key questions to ask:
- The tool will only be a success if teams adopt it, how easy is the tool for for them to learn and use?
- How much time and effort will be required to up-skill and train the business?
- What kind of training material and on-boarding is provided?
Step 3 - what are the costs? (obvious and hidden)
Key questions to ask:
- How does the pricing work? Is it:
- Cost per licensed user
- Cost of business size (e.g no. employees / revenue, etc.)
- Cost per use (e.g. per message sent)
- Fixed fee
- Is there a minimum committed cost per year and what is the renewal cycle?
- How much will costs go up in future years?
- What happens to the cost if you need to change the number of users / change your usage during the middle of the contract period?
- What is the cancellation period? How quickly can you get out of the contract?
- Are there additional costs for extra features / modules?
- What kind of implementation support is included and if not, what does it cost and what do you get?
- What kind of customer service and account management is included?
Step 4 - IT Security & Data Processing
Key questions to ask:
- How easily and granularly can you customise user permissions?
- Where is the data stored? (e.g. is it GDPR compliant )
- Are the sub-processes GDPR compliant?
- Is there automatic data deletion? Or the possibility to set that up?
- How is the data secured? How often are penetration tests carried out by the vendor?
- What is the minimum uptime of the tool (how reliable is it)? What is the service level agreement?
- Are they SOC2 or ISO27001 compliant?
- Is single-sign-on possible?
- Is multi-factor authentication possible?
- Does it allow for centralised access management? Eg. via Okta
